How do I save work receipts so I can find them later?

The short answer

Check that a receipt is complete and readable before storing it. Name it with the date and supplier, place it in a folder for the period and note how to find it from your expense record. Keep a backup. A photograph helps organize it, but does not by itself determine whether you can discard the original.

Check the image before leaving the store

Place the paper on a flat surface and avoid shadows or glare. Include the edges, date, store, items and total. Open the photo and zoom in to check that you can read it; a good-looking thumbnail is not enough.

If the receipt has two sides or several pages, keep all parts. For an online purchase, save the available invoice or confirmation too, rather than only a screenshot of the total.

Use a name that will make sense in six months

This is a naming example, not a requirement. Use a date, supplier and reference you understand. Do not include card numbers, identity documents or customer addresses.

A folder for each year and month is a simple starting point. Within it, you can separate purchases and returns. Keep the same system so you do not have to rely on your phone’s search.

Connect the record and the document

In your expense list, note the supporting file’s name or a reference that lets you find it. If you export records from a tool, keep the document folder too; a summary and its supporting evidence do different jobs.

Check that your backup actually opens on another device you own. Before sending documents to your accountant, confirm the recipient and use the agreed channel, without publishing open links.

Do not delete documents just because the year ended

Retention depends on the document and your circumstances. Review the IRS source below and agree with your accountant on which originals and copies to keep; do not use one deadline for everything.
